a
We need to know to which calendar month your figures apply. For
example, you might write “June 2008”.
b
Tell us to actual number of eye examinations carried out in the
month. For example you might write “257”.
c
We need to know the actual number of contact lens checks carried
out in the month. These may have been carried out by optometrists or by
qualified contact lens opticians. For example, you might write “42”.
d
Write in the actual number of new patients ~ those who have not
been to your practice before. If a patient returns to the practice after a break
of 10 years or more, count them as a new patient here. For example: “109”.
e
Write in the actual number of patients who
ORDERED a new pair of spectacles in the month. (They may or may not have
collected their purchase). Include any walk-ins from other practices. If a
patient orders two pairs of spectacles, this only counts as ONE sale because we
need to count the number of patients not the number of spectacles. If a patient
has their existing spectacles reglazed as well as ordering a new pair of
spectacles, this counts as one sale here but DO NOT
also count them in Question f. E.g.: “181”.
f
Tell us how many patients, if any, chose to have new lenses put
into their existing frames. For example: “17”.
g
We need to know the number of patients who opted for contact
lenses for the first time during the month PLUS those who were checked and
decided to continue to wear contact lenses. BE AWARE THAT
if your practice accepts payment by standing order / direct debit, the patients
in this category may have just carried on with their existing payment
instructions. The difference between this figure and ‘C’, above, indicates the
CL drop out rate. THIS NUMBER CANNOT BE GREATER THAN ‘C’
ABOVE. E.g.: “37”.
h
Tell us the number of private eye examinations that were carried
out during the month. You should EXCLUDE all of the
patients who qualify for an NHS eye examination such as the over 60s. For
example: “85”.
i
Write in the fee that your practice charges for a standard (GOS)
eye examination. IGNORE THE AMOUNT THAT YOU CHARGE FOR
SUPPLEMENTARY SERVICES, SUCH AS FUNDUS PHOTOGRAPHY OR VISUAL FIELD TESTS.
For example: “£25.00”.
j
Tell us the amount that you charge a contact lens patient for a
routine check-up. If you charge an annual fee for contact lens aftercare,
estimate the amount that the patient would pay per visit. For example, if you
were to charge £80.00 per year for aftercare and you expect the patient to
recheck the patient every 6 months, you would write “£40.00”.
k
Enter here the total amount of cash, cheques & credit / debit
card income from patients. For example, you might write “£23,842”.
EXCLUDE any rental income from property and/or any
“non-optical” income such as the sale of second hand equipment, motorcars,
rents, etc. PLEASE ROUND THIS FIGURE TO THE NEAREST WHOLE
POUND ~ I.E. NO PENCE.
l
Please write in the total value of standing order / direct debit
received in the month. DO NOT INCLUDE ANY AMOUNT SHOWN IN
“K”, ABOVE. For example, you might write “£1,811”.
PLEASE ROUND THIS FIGURE TO THE NEAREST WHOLE POUND.
m
Tell us the amount received for NHS work. DO
NOT INCLUDE ANY AMOUNT SHOWN IN “K”, ABOVE . This would typically be the
payment for work carried out in the previous month. For example: “£5,949”.
PLEASE ROUND THIS FIGURE TO THE NEAREST WHOLE POUND.
NOTE: THE SUM OF (k + l + m) SHOULD
INDICATE THE TOTAL PRACTICE INCOME, INCLUSIVE OF ANY VAT.
n
WWe need to take a view of the total number of hours worked by
optometrists / OMPs in the branch. This figure should be the time
AVAILABLE for examinations rather than the time
actually testing. For example, if there is one OO who worked for 21½ days in the
month, each working day was 7½ hours long, this would be 21½ x 7½ = 161¼ and you
would wri te “161 Hours” ~ PLEASE ROUND THIS FIGURE TO THE
NEAREST WHOLE NUMBER.
o
We also need to know the total number of hours
SPENT in the branch by support staff.
INCLUDE DOs, optical assistants, receptionists,
managers and direct administration staff. IGNORE
glazing technicians, bookkeepers and cleaners. E.g.: With a full time DO and two
part time receptionists, both of whom work for three days a week, you might
calculate the total number of hours in the month to be “232 Hours” ~
PLEASE ROUND THIS FIGURE TO THE NEAREST WHOLE NUMBER.
